After your US visa interview at the consulate, your passport doesn't just get handed back to you at the door. It goes into a processing pipeline, and how (and where) you get it back depends on a choice you made earlier in your application — one that a lot of people don't pay enough attention to at the time. Here's what you need to know about the three delivery options, what they cost, and the traps to avoid.
You choose your delivery option when you complete your application online through the US Visa Scheduling system. This happens before your interview, and it's important to understand that once you've made your selection, you generally cannot change it. So read this before you get to that step.
The Three Options
There are three ways to get your passport back after your visa application has been processed: standard pickup (free), premium location pickup ($28), and premium home delivery ($36–$57). Each has different locations, hours, and trade-offs.
Option 1: Standard Pickup (Free)
This is the default option and it doesn't cost anything. Your passport gets sent to the VFS Global hub closest to the consulate that processed your application. You'll receive an email from GTS ([email protected]) when it's ready to collect.
The pickup locations are:
- Sydney: VFS Sydney — Suite 619, Level 6, 241 Commonwealth Street, Surry Hills, NSW 2010
- Melbourne: VFS Melbourne — Level 5, 332 St Kilda Road, Melbourne, VIC 3004
- Perth: MBE Perth — Shop 6, 50 St Georges Terrace, Perth, WA 6000
Opening hours are Monday to Friday, 10:00am to 2:00pm, excluding Australian public holidays. That's a pretty narrow window, so plan accordingly.
The big thing to know here is that your passport will only be available at the location matching the consulate that processed your application. If you applied through the Sydney consulate, your passport goes to Surry Hills — it won't be sent to Melbourne or Perth. Documents are never transferred between consular locations.
You must bring the email from GTS and a government-issued photo ID when you collect. If you can't pick it up yourself, someone else can do it on your behalf with an original signed authority letter (more on that below).
VFS will hold your passport for 30 calendar days. If you don't collect it within that window, it gets sent back to the consulate — and that's going to cause delays.
Option 2: Premium Location Pickup ($28)
If you don't live near one of the three consulate cities, this option lets you collect your passport from a designated location in Brisbane, Adelaide, or Canberra instead. It costs AUD $28 per passport, paid by card only, in person on the day you collect.
The premium pickup locations are:
- Canberra: VFS Canberra — Level 4, 10 Hobart Place, Canberra, ACT 2601
- Adelaide: VFS Adelaide — Level 4, 90 King William Street, Adelaide, SA 5000
- Brisbane: VFS Brisbane — Suite 1B, Level 1, 201 Leichardt Street, Spring Hill, QLD 4000
These locations have slightly better hours than the standard pickup: Monday to Friday, 9:00am to 3:00pm, excluding public holidays.
Passports are transported to these locations by DHL. The same 30-day collection window applies — if you don't pick it up in time, it goes back to the consulate.
Here's the trap: once you select premium location pickup, you cannot switch to standard pickup or premium delivery. The only exceptions are if you officially change your selection through US Visa Scheduling at least five business days before your appointment, or if you make the change before mailing in your passport for an interview waiver application.
Same rules apply for collection — bring the GTS email and your government-issued photo ID. If someone else is collecting on your behalf, they need the signed authority letter and a copy of your photo ID.
Option 3: Premium Home/Office Delivery ($36–$57)
This is the most convenient option but also the most expensive. Your passport gets delivered via DHL directly to the address you entered on the GTS website when you set it up.
The cost depends on where you live:
- Metro areas (capital cities and most major cities): AUD $36 per passport
- Regional areas: AUD $57 per passport
DHL determines whether your postcode is metro or regional — you can check the price for your specific postcode on the GTS website before you commit. And note that pricing is per passport. If you and your spouse are both applying, that's two separate deliveries and two separate fees.
You pay for this option on the GTS website before your interview. Once your passport is ready to ship, you'll get an email with a DHL tracking number that you can follow on the DHL tracking page.
Estimated delivery times are 1–3 business days for metro areas and 3–5 business days for regional areas, though these are estimates and can vary.
What If Your Visa Is Refused?
If the consulate doesn't approve your visa and hands your passport back to you at the interview, you're entitled to a refund of the premium delivery fee (if you paid for it). You need to act fast though — within five business days of the refusal, email a copy of your 214(b) refusal letter and your proof of payment to the correct VFS hub:
- Sydney interviews: [email protected]

Once validated, VFS will refund your card within 10 business days. This only applies to the delivery fee — the visa application fee itself is non-refundable regardless of outcome.
Can Someone Else Collect Your Passport for You?
Yes, but there are specific requirements. You need to provide an original signed letter of authority that includes your representative's full name (exactly as it appears on their photo ID) and your full name and passport number (exactly as shown in your passport).
Your representative must bring the authority letter, a copy of your government-issued photo ID, and their own ID to the collection location.
Which Option Should You Pick?
If you're in Sydney, Melbourne, or Perth and can get to the VFS office during that 10am–2pm window, standard pickup is fine and it's free. The hours are tight, but it works.
If you're in Brisbane, Adelaide, or Canberra, the premium location option for $28 saves you a trip to one of the consulate cities. Slightly better hours too.
If you're regional, if you're on a tight timeline, or if you just don't want to deal with the logistics of getting to a VFS office during business hours, premium delivery is worth the $36–$57. Having your passport show up at your door with tracking is one less thing to worry about during an already stressful process.
Just remember: whatever you choose, you're locked in once you've made the selection. Pick the right option before you submit your application, not after.
